Privacy Policy
About this policy
This policy explains how Listable Pty Ltd, trading as Trexo Group ("Trexo", "we", "us"), handles personal information. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
It covers personal information collected through trexogroup.com.au, our enquiry and assessment forms, our talent network and recruitment activities, and our day-to-day work with clients and candidates.
Information we collect
We collect only what we need to respond to you and provide our services. Most of it comes directly from you.
- Enquiries and assessment requests: your name, work email, company, phone number (optional), and what you tell us about your needs, situation or CRM.
- Talent network and recruitment applications: your name, email, location, role interest, specialisation, profile link (such as LinkedIn), and anything you include in a CV or interview. With your consent, we may also collect references and information from recruiters or public professional profiles.
- Client and supplier contacts: business contact details and correspondence.
- Website usage: information about how you use our site, collected through analytics (see Analytics and cookies).
We do not ask for sensitive information through our website. If a recruitment process needs it (for example, a background check), we will ask for your consent first.
Analytics and cookies
We use Google Analytics 4, loaded through Google Tag Manager, to understand how people use our site. It uses cookies and similar technologies to record pages viewed, how you arrived, your general location (city or region), device and browser type, and whether a form was submitted successfully.
We use this information in aggregate to improve the site and measure enquiries. We do not send your name, email or form answers to Google Analytics. We use the name of the form you submitted, not its contents.
- Cloudflare Turnstile checks form submissions for spam and bots and may process technical data such as your IP address and browser signals.
- Webflow hosts our website and stores form submissions.
You can block or delete cookies in your browser settings, or use Google's opt-out browser add-on. The site still works without analytics cookies.
How we use and share information
We use personal information to:
- respond to enquiries and assessment requests, and assess eligibility;
- provide consulting, managed services and talent services;
- assess candidates and, with your consent, put you forward for roles with Trexo or our clients;
- run, secure and improve our website and services;
- send you relevant updates, which you can opt out of at any time.
We share personal information only as needed for these purposes:
- Clients (recruitment): we share a candidate's details with a client only after the candidate agrees to be put forward for that role.
- Service providers: hosting, form processing, analytics, email, CRM and bot protection providers (including Webflow, Google, Cloudflare and our CRM provider), under their own privacy and security terms.
- Our team in the Philippines, who support our Australian operations.
- As required by law, or to protect rights, safety or property.
We do not sell personal information.
Overseas disclosure
Some personal information is handled outside Australia:
- Philippines: our Trexo team there supports recruitment, delivery and administration.
- United States and other countries: our website, form, analytics and email providers (including Webflow, Google and Cloudflare) store or process data on servers outside Australia.
- Client locations: if you apply for a role with an overseas client, we share your details with that client in its country, with your consent.
We take reasonable steps to ensure overseas recipients handle personal information consistently with the Australian Privacy Principles.
Storage, security and retention
We store personal information in secure, access-controlled systems and limit access to staff who need it for their role.
We keep enquiry and client records for as long as needed for the relationship and our legal obligations. We keep talent network and recruitment records only for as long as reasonably necessary for recruitment purposes or to meet our legal obligations, unless you ask us to delete them sooner. When we no longer need information, we delete or de-identify it.
If a data breach is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
Access, correction and complaints
You can ask to see or correct the personal information we hold about you, or ask us to delete it. We will respond within 30 days. We may need to verify your identity first, and we will explain any reason we cannot meet a request.
If you have a privacy concern or complaint, contact us first. We aim to resolve complaints within 30 days. If you are not satisfied, you can contact the OAIC at oaic.gov.au or on 1300 363 992.
